Basic Function

  • Responsible for translating creative concepts into reality for events, advertisements, marketing materials, branding campaigns, and digital content.

Scope of The Position

  • Collaborate with the internal or external creative team to develop visual concepts and design strategies for events delivery, creating engaging and original designs that align with Centre project objectives, brand guidelines, and target audience preferences. Conduct research and gather inspiration to stay up-to-date with design trends, industry best practices, and emerging technologies, all while working closely with the AV & Production department to upsell Center-owned equipment to maximize company profit.

Primary Responsibilities

Planning

  • Plan the day-to-day management of BMS risks relevant to the department’s activities and the achievement of BMS objectives and targets.
  • Collaborate with both internal and external creative teams to develop visual concepts and design strategies for event delivery at the Centre, creating engaging and original designs that align with project objectives, adhere to brand guidelines, and cater to the preferences of the target audience. Conduct thorough research and gather inspiration to stay current with design trends, industry best practices, and emerging technologies, ensuring that the Center remains at the forefront of creative and technical innovation.
  • Work closely with the AV & Production department to identify opportunities to upsell Center-owned equipment and services to event organizers, thereby maximizing the company’s profitability.
  • Oversee the entire creative project lifecycle, from concept development through execution, ensuring that the integration of technology and creative elements enhances the overall event experience while maintaining and enforcing best practices and quality standards in the implementation of technical and creative elements in events.
  • Lead and mentor a diverse team of creative professionals, technical specialists, and event designers, creating a collaborative work environment that fosters both creativity and technical excellence. Set clear performance goals for the team, offer constructive feedback, and ensure that all creative and technical elements of events consistently meet or surpass client expectations.
  • Plans the preparation and administration of proposals and quotation related to sales of the offered services.

Implementation

  • Evaluate department activities for BMS risks, pinpointing critical areas and potential impacts on BMS objectives. Create a flexible risk management plan with strategies to minimize, track, and tackle these risks, and regularly review and update it to keep it current.
  • Establish a collaborative workflow between internal and external creative teams, have frequent brainstorming sessions to come up with visual ideas and designs that match project goals, brand rules, and audience preferences. Also, create a structured research process to stay updated on design trends, industry best practices, and new tech, keeping the Centre on the cutting edge of creativity and technology.
  • Collaborate closely with the AV & Production department to identify equipment and service upsell potential, while concurrently developing pricing strategies and packages aimed at maximizing profitability. Facilitate the training of sales and event management teams in effective upselling techniques and opportunities.
  • Establish a project management framework from concept to execution, develop a quality control system to maintain high standards, regularly update best practices for technical and creative elements, and continuously monitor and assess project progress for quality maintenance.
  • Create a collaborative and innovative work environment that nurtures both creativity and technical excellence, setting clear performance goals aligned with client expectations, and providing consistent feedback, coaching, and training to enhance team skills. Implement a performance review process to assess and enhance the team’s overall performance.
  • Establish a standardized process for preparing and administering proposals and quotations, while also regularly reviewing and updating these materials to align with current service offerings and pricing structures.

Monitor and measure

  • Monitoring and measuring day to day function performance, including the control of safety and health risks, bribery risks and significant environmental aspects relevant to activities of the function as well as the achievement of relevant BMS objectives and targets and improvements in employee competence, well-being and morale.
  • Ensures that sales activities and payments adhere to the Centre’s corporate and departmental policies, procedures, and technical standards.
  • Oversees the execution of the sales plan, tracking its successful realization.
  • Supervises the execution of specified requirements for delivering specialized advice and services within the Centre, which may include the contractual terms and conditions associated with production services.
  • Monitors and assesses customer feedback regarding the services provided, including customer perceptions and satisfaction levels.
  • Keeps an eye on both local and international market trends pertaining to AV production and technical services offered within the Business Events industry.

  • Acts to continually improve the efficiency and effectiveness of the team’s services.
  • Responsible and committed to upholding the lawful and ethical conduct, and in demonstrating honesty, fairness and accountability in centre activities and operations.

Job Specification

The incumbent of this position would be expected to have the following competencies:

  • Knowledge and understanding of the Centre’s corporate and departmental policies, processes and standards.
  • Familiarity with sales and marketing principles, encompassing methods, pricing, promotions, and customer relationship management.
  • Thorough understanding of the Centre’s BMS (Business Management System).
  • In-depth knowledge of planning and managing AV production and technical services, including the utilization of external resources and their integration into the Centre’s in-house services, as well as compliance with legal requirements set forth by entities like MyCEB, Tourism Malaysia, and the Ministry of Domestic Trade.
  • Expertise in event production such editing application, relevant technical software, audiovisual communication technologies, covering sound, video, lighting, IT technologies, display and projection systems, as well as the configuration of both existing and emerging audiovisual hardware.
  • Technical proficiency in audiovisual system requirements for typical events, with a focus on integrating audiovisual and IT technology for collaborative conferencing, encompassing virtual events, hybrid events, video conferencing, audio conferencing, web conferencing, and data conferencing.
  • Implementation of safety measures in collaboration with riggers and vendors to ensure the safety of clients, guests, and employees.
  • Understanding of sales and marketing activities for the offered services, involving the development of directives, strategies, outlines, projections, budgetary estimates, timelines, and resource studies to achieve the Centre’s sales targets.
  • Familiarity with the processes and requirements related to preparing proposals and quotations, including the determination of terms and conditions, particularly those pertaining to payment matters.

  • Mastery of the Centre’s corporate and departmental policies, processes, and standards, leading to effective adherence and consistent application.
  • Proven proficiency in sales and marketing principles, encompassing a track record of successful sales methods, pricing strategies, promotional campaigns, and building strong customer relationships.
  • Extensive experience and expertise in implementing the Centre’s BMS, ensuring systematic and compliant operations.
  • Demonstrated ability to effectively plan and manage AV production and technical services, including the strategic incorporation of external resources to enhance in-house offerings and consistent compliance with legal requirements set by relevant authorities.
  • Expertise in event production, showcased through hands-on experience with editing applications, relevant technical software, and comprehensive knowledge of audiovisual communication technologies, including sound, video, lighting, IT technologies, display and projection systems, and the configuration of both existing and emerging audiovisual hardware.
  • Proven technical proficiency in meeting the audiovisual system requirements for a wide range of events, particularly in integrating audiovisual and IT technology for collaborative conferencing across virtual events, hybrid events, video conferencing, audio conferencing, web conferencing, and data conferencing.
  • Demonstrated commitment to safety, illustrated through a successful track record of implementing safety measures in collaboration with riggers and vendors to ensure the well-being of clients, guests, and employees.
  • A track record of understanding and effectively executing sales and marketing activities for the services offered, including the development of directives, strategies, outlines, projections, budgetary estimates, timelines, and resource studies that have consistently achieved or exceeded the Centre’s sales targets.
  • Proven familiarity with the processes and requirements related to preparing proposals and quotations, including the successful determination of terms and conditions, with a strong focus on payment matters to ensure business success.

Selection Criteria

  • Holds a graduate or post graduate qualification in graphic design or other or any relevant field, or has a wide breadth of experience in a role similar to this; and
  • At least 8 years working experience in a supervisory or management role dealing with the sales and delivery of productions design or audio visual services, and/or
  • Up to 8 years of agency experience OR solid strategic creative work experience, with a comprehensive understanding of integrated campaigns
  • Vast experience in Video Editing skills (for eg: Final Cut, DaVinci Resolve) and Designing Tools skills (for e.g: adobe illustrator / photoshop)
