We are looking for a Procurement Officer to support procurement activities across our marketing, activation, event, and project operations. This role will be responsible for sourcing and managing vendors, handling procurement administration, negotiating commercial terms, and ensuring purchasing activities are carried out efficiently, transparently, and in line with company standards.
The ideal candidate has solid experience in vendor management and procurement operations, strong attention to detail, good commercial judgment, and a high level of professionalism and integrity. This role will also play an important part in improving procurement controls, maintaining proper documentation, and supporting a fair and accountable vendor engagement process.
Source, evaluate, and manage vendors/suppliers based on project and operational needs.
Handle end-to-end procurement processes, including vendor sourcing, quotation comparison, negotiation, purchase coordination, and documentation.
Build and maintain a reliable vendor database, including pricing references, service scope, lead time, and performance records.
Negotiate pricing, payment terms, and commercial agreements with vendors to ensure cost efficiency and service quality.
Coordinate with internal stakeholders to understand procurement requirements and recommend suitable vendor options.
Review vendor proposals and quotations to ensure alignment with project needs, budget, and company standards.
Support the implementation of proper procurement procedures, controls, and documentation practices.
Ensure procurement activities are conducted in a transparent, organized, and compliant manner.
Monitor vendor performance, delivery timelines, service quality, and issue resolution when needed.
Identify opportunities to improve procurement efficiency, vendor management, and cost optimization.
Bachelor’s degree in Business, Management, Supply Chain, Procurement, Finance, or a related field.
Minimum 3 years of experience in procurement, purchasing, vendor management, or a related role.
Proven experience in handling vendor sourcing, price comparison, negotiation, and procurement administration.
Strong knowledge of procurement workflow, vendor evaluation, and purchasing documentation.
Strong negotiation, communication, and stakeholder management skills.
Detail-oriented, organized, and able to manage multiple procurement requests in a fast-paced environment.
Good analytical skills with the ability to compare quotations, evaluate vendor proposals, and support cost-effective decisions.
Experience handling a wide range of vendors such as production vendors, event vendors, printing vendors, venue partners, and other third-party service providers.
Familiarity with procurement controls, vendor compliance, and internal process improvement.
Experience working in an agency, event, activation, marketing services, or project-based business environment will be a plus point.
High level of professionalism, integrity, and accountability in handling vendor-related processes.
Proficient in Microsoft Excel / Google Sheets and comfortable working with procurement records and reporting.
