Position: Management Assistant to Directors
Location: Uluwatu, Bali
Reporting to: CEO and COO
Role Summary
The Management Assistant to the directors provides structured support to the CEO and COO, within a dynamic real estate development business. The role is responsible for agenda management, coordination, and follow-through, ensuring that daily activities are planned, organized, and executed efficiently. Acting as a central coordination point, the role supports meetings, communication, documentation, and task tracking across internal stakeholders. Strong organizational skills, accuracy, and the ability to maintain structure in a fast-paced environment are essential.
Key Responsibilities
Manage calendars, agendas, and meeting schedules
Coordinate meetings, prepare agendas, and organize supporting materials
Capture meeting notes, decisions, and action points; ensure follow-up
Act as first point of contact for internal and external coordination
Direct communication with clients
Track tasks, deadlines, and priorities across ongoing activities
Prepare summaries, reports, and basic presentations
Maintain structured digital and document filing systems
Handling contracts using Docusign
Support communication with internal teams and external partners
Coordinate travel, appointments, and administrative logistics
Use digital tools for task management and reporting, including ClickUp
Profile & Skills
Proven experience as a Management Assistant, Executive Assistant, or similar role
Strong organizational and planning skills with high attention to detail
Ability to manage multiple priorities in a structured manner
Clear written and verbal communication skills in English
Professional, discreet, and reliable
Proficient in Microsoft Office (Outlook, Word, Excel, PowerPoint)
Comfortable working with task management and collaboration tools (ClickUp or similar)
