GARDEN OF FIREFLIES is looking for a detail-oriented, organized, and proactive Sales Operations & Administration Executive to join our growing family.

This role will be responsible for supporting the day-to-day sales and administrative operations of the company, with a strong focus on data entry, inventory management, order processing, marketplace administration, sales reporting, and documentation.

You will work closely with the Sales, E-commerce, Operations, Warehouse, and Management teams to ensure sales information is accurate, orders are properly processed, inventory is well monitored, and daily operations run smoothly.

The ideal candidate is someone who enjoys working with data, is highly organized and detail-oriented, and can manage repetitive tasks with consistency while also being proactive in identifying issues and improving processes.

JOB RESPONSIBILITIES

• Manage Inventory: Monitor inventory levels, stock movement, product availability, and discrepancies across sales channels.

• Data Input: Accurately input, update, and maintain sales, order, customer, inventory, and operational data across company systems.

• Process Orders: Process and update online and offline orders, including payments, invoices, fulfillment, cancellations, returns, and exchanges.

• Manage Marketplace Data: Maintain accurate product, pricing, promotion, order, and sales information across Shopee, Tokopedia, TikTok Shop, and other platforms.

• Track Sales: Monitor daily sales, orders, revenue, and sales performance across marketplaces and other sales channels.

• Sales Reporting: Prepare daily, weekly, and monthly sales reports and provide timely updates to the Sales Team and management.

• Sales Support: Provide administrative and data support to the Sales Team to help achieve sales targets and maintain smooth sales operations.

• Customer Data: Maintain accurate customer and transaction records for sales tracking, reporting, and customer management.

• Campaign Support: Assist with sales campaigns, promotions, product launches, and marketplace events by preparing and updating relevant data.

• Reporting & Analysis: Consolidate and analyze sales and inventory data to identify trends, discrepancies, issues, and opportunities for improvement.

• Documentation: Prepare and maintain spreadsheets, reports, invoices, sales documents, and other relevant records.

• Team Coordination: Collaborate with Sales, E-commerce, Operations, Warehouse, and other teams to ensure efficient workflows and accurate information.

• Other Duties: Perform additional sales, data, and administrative tasks as assigned by management.

REQUIREMENTS / QUALIFICATIONS

• Bachelor’s Degree in Business Administration, Management, Marketing, Accounting, Economics, Finance, or a related field.

• Minimum 2 - 3 years of working experience in sales administration, data entry, e-commerce, retail, operations, or a related field. Fresh graduates are welcome to apply.

• Strong data entry skills with excellent attention to detail and accuracy.

• Strong proficiency in Microsoft Excel and Microsoft Word.

• Comfortable working with numbers, spreadsheets, databases, and sales reports.

• Good understanding of sales and e-commerce processes.

• Experience with marketplaces such as Shopee, Tokopedia, TikTok Shop, or other e-commerce platforms is preferred.

• Strong written and verbal communication skills.

• Must be able to communicate in English.

• Experience in e-commerce, retail, sports, fashion, health, lifestyle, or related industries is preferred.
