As Ferlencia Music continues to expand, we are looking for an experienced School Operations Manager to help build scalable systems, lead our operations team, and support the expansion of Ferlencia Music. This role offers the opportunity to work closely with the Founder in shaping the future of Ferlencia Music.
This is a leadership role for someone who enjoys building systems, leading people, and creating outstanding customer experiences.
You will oversee the daily operations of the school, develop and implement SOPs, coordinate teachers and administrative staff and also parents, handling parents, improve operational efficiency, and support business growth through partnerships, events, and marketing initiatives.
This role is ideal for someone who combines strong operational leadership with a genuine appreciation for music education. The ability to play at least one musical instrument is highly valued, as is enables a deeper understanding of our students, teachers, and programmes.
School Operations
Oversee daily operations of the music school, including scheduling, resource allocation, and facility management.
Develop, implement, and continuously improve SOPs for administration, trial lessons, enrolment, registration, classes, customer service, events, internal operations.
Monitor operational performance and recommend improvements.
Coordinate with music instructors to schedule classes, lessons, and performances whilst maintaining high teaching standards.
Administration and Customer Experience
Lead and supervise the administration team.
Ensure excellent customer service for students and parents.
Oversee student enrolment, registration, scheduling, attendance, and record management.
Handle operational issues and customer concerns professionally.
Do the follow-up tasks for new leads.
Teacher and Class Coordination
Manage teacher schedule, classroom allocation, trial lessons, make - up lessons, and student timetables.
Coordinate recording schedules for teachers and students.
Ensure efficient communication between teachers, students, parents, and the administration team.
Business Development and Marketing Support
Identify and establish partnerships with schools, shopping malls, cafés, family businesses, enrichment centres, and community organisations.
Source suitable venues and vendors for concerts, recitals, workshops, competitions, and promotional events.
Coordinate collaborations with external partners to increase brand awareness and student enrolment.
Support marketing initiatives by coordinating content creation, student recordings, and promotional campaigns.
Research new opportunities to expand Ferlencia Music's community presence and business network.
Event Management
Plan and oversee concerts, recitals, competitions, examinations, workshops, and public performances.
Coordinate event logistics, venue bookings, vendors, budgets, and schedules.
Ensure every event reflects the school's professional standards.
Leadership
Recruit, train, supervise, and evaluate the administration team.
Foster a culture of professionalism, accountability, and continuous improvement.
Work closely with the Founder to achieve the school's strategic goals and future expansion.
Budgeting
Manage budgets, financial planning, and expenditure to ensure cost-effectiveness and sustainable growth.
Evaluation
Monitor and evaluate school performance against set objectives and key performance indicators.
Address and resolve operational issues and complaints in a professional and timely manner.
Prepare operational reports and KPI tracking for management.
Bachelor's degree in Business, Management, Education, Marketing, or a related field.
Minimum 3 years of experience in Operations Management, School Management, Office Management, or Business Operations.
Proven experience in developing SOPs and improving operational systems.
Strong leadership, communication, and problem - solving skills.
Highly organised with excellent project management abilities.
Experience coordinating events and managing multiple priorities.
Commercial mindset with the ability to identify partnership and business opportunities.
Proficiency in Microsoft Office and Google Workspace.
Experience in the education, enrichment, hospitality, or service industry is highly preferred.
Passion for education and delivering outstanding customer experiences.
Proven experience in school management or educational institution administration.
