Daewoong Pharmaceutical Indonesia is part of Daewoong Group, supporting healthcare growth in Indonesia through pharmaceutical business development, product launches, medical society collaboration, and cross-functional execution with Korea and Indonesia teams.
The Ethical Marketing team supports strategic product launches, KOL engagement, congress and symposium execution, CSS/IIT-related coordination, sales and marketing data support, and daily collaboration with internal teams, Korean HQ, vendors, KOLs, hospitals, and external partners.
Job Overview
The Administration Executive is expected to become the operational backbone for the Ethical Marketing team. The role supports end-to-end administration, travel and logistics, vendor and KOL coordination, finance documentation, contract/MoU follow-up, sales data reporting, executive support, and communication with Korean and Indonesian stakeholders. The target candidate should have a work scope and service mindset similar to the current Administration Executive function, while adding strong Korean communication capability for daily coordination with Korean managers/HQ.
Coordinate domestic and international business travel, accommodation, transportation, visa/document support, and itineraries for employees, management, KOLs, and executive visitors.
Support meetings, workshops, congresses, symposia, launch events, KOL visits, and other business activities from preparation until settlement.
Manage vendor coordination, quotation follow-up, booking confirmation, service confirmation, invoice collection, and payment document readiness.
Coordinate purchase requests, payment requests, reimbursement, cash advance, daily allowance, settlement, sponsorship payment, and other finance documentation with Finance.
Support contract, MoU, agreement, correspondence, and legal documentation follow-up with Legal and related departments.
Maintain organized documentation and tracking for travel, vendors, payments, budget, events, contracts/MoUs, and operational requests.
Collect, validate, consolidate, and report sales and operational data to support management review and business decisions.
Provide executive and departmental support, including schedules, meeting preparation, materials, communication, and urgent operational requests.
Coordinate professionally with internal teams, Korean HQ / Korean managers, vendors, hotels, travel agencies, event organizers, hospitals, KOLs, and external partners.
Translate/clarify simple Korean-Indonesian business communication when needed and ensure follow-up points are documented clearly.
Ensure accuracy, timeliness, confidentiality, and compliance with company procedures in all administrative work.
Bachelor's degree in Business Administration, Management, Communication, Korean Studies, Pharmacy, or another relevant major.
Minimum 1-3 years of experience in administration, marketing support, operations, executive support, event/logistics coordination, or related role.
Able to communicate well in Korean for daily coordination with Korean managers/HQ; good English and Bahasa Indonesia business communication are also required.
Strong Microsoft Excel / Google Sheets ability for data consolidation, tracking, reporting, and basic analysis.
Good understanding of travel arrangements, event support, vendor coordination, payment documents, reimbursement, cash advance/settlement, and budget tracking.
Detail-oriented, responsive, accountable, organized, service-minded, and able to manage multiple priorities with minimal supervision.
Able to work cross-functionally with Marketing, Finance, Legal, HR, Medical, management, vendors, KOLs, hospitals, and external stakeholders.
Preferred Qualifications
Experience in pharmaceutical, healthcare, Korean company, or multinational environment.
Familiar with Bearworld / ERP / purchase request, invoice, payment, contract, MoU, and internal approval workflows.
Experience supporting congresses, symposia, KOL meetings, executive visits, sponsorships, and speaker administration.
Able to improve administrative trackers, reporting templates, dashboards, and document standardization.
Korean language certification or proven working experience with Korean stakeholders is preferred.
Strong confidentiality and professional communication with senior leaders and external partners.
