As we continue to expand, we are looking for a highly driven, service-oriented, and adaptable professional with exceptional attention to detail and strong executive presence to join us as an Executive Secretary to CEO.
• Strategically manage and optimize the CEO’s calendar, including prioritizing executive-level meetings and coordinating domestic and international business travel with a strong sense of urgency, efficiency, and service excellence.
• Act as the primary liaison and gatekeeper between the CEO and key stakeholders, including strategic partners—ensuring clear, structured, professional, and service-oriented communication at all times.
• Prepare and review highly confidential strategic documents, including executive reports, business briefs, and presentation materials to support high-level decision-making.
• Drive execution of strategic initiatives through effective tracking, monitoring, and cross-functional follow-ups to ensure alignment with timelines and business objectives.
• Coordinate communication and alignment across departments and business units, ensuring all functions are aligned with the company’s strategic direction and priorities.
• Proactively anticipate the CEO’s needs—both professional and personal—demonstrating a strong sense of ownership, discretion, and a hospitality-driven mindset to deliver seamless daily operations.
• Bachelor’s degree in Information Systems, Finance / Accounting, or a related field; a Master’s degree or international exposure is a strong advantage.
• Minimum 3–5 years of experience as an Executive Assistant / Executive Secretary supporting C-level executives in fast-paced, high-demand environments.
• Excellent executive-level communication skills in English (both written and spoken); proficiency in Mandarin or other foreign languages is a significant advantage.
• Highly proficient in Microsoft Office (Excel, PowerPoint, Word, Visio), CRM tools, and modern digital platforms, including AI-based productivity tools.
• Exceptional organizational, stakeholder management, and problem-solving skills, with high integrity, strong attention to detail, and the ability to handle confidential information professionally.
• Strong sense of service and hospitality mindset, with high responsiveness, attentiveness, and the ability to anticipate needs to deliver a seamless executive experience.
