About the role

We are seeking an experienced Admin Proyek (Project Administrator) to join the PT.Hebei Dikuang Indonesia team. This is a full-time position based in PIK2, Tangerang. In this role, you will be the backbone of our project operations, providing comprehensive administrative support to ensure projects run smoothly and efficiently. You will coordinate between various teams, manage documentation, and maintain critical project records that keep our operations on track. This position is essential to our success, ensuring that all project activities are well-organised and all stakeholders have the information they need when they need it.

Key responsibilities

  1. Prepare and maintain project documentation including proposals, contracts, reports and correspondence

  2. Schedule and coordinate project meetings, prepare agendas and distribute minutes to relevant stakeholders

  3. Manage project files, records and databases to ensure accurate and up-to-date information

  4. Monitor project timelines and deadlines, providing reminders to team members as required

  5. Assist with budget tracking and maintain records of project expenditures

  6. Liaise between project managers, team members and external vendors to facilitate smooth communication

  7. Prepare project status reports and presentations for management review

  8. Handle administrative tasks such as booking facilities, arranging travel and managing office supplies

  9. Support the organisation of site visits, audits and inspections as needed

  10. Maintain confidentiality of sensitive project information and compliance documentation

What we're looking for

  1. Proven experience working as an administrative assistant or project coordinator in a similar role

  2. Strong organisational skills with the ability to manage multiple projects simultaneously

  3. Required: Ability to communicate effectively in Mandarin (both spoken and written), with excellent verbal and written communication skills in English and Indonesian.

  4. Proficiency in Microsoft Office applications including Word, Excel, PowerPoint and Outlook

  5. Experience with project management software or databases

  6. Keen attention to detail with strong accuracy in documentation and record-keeping

  7. Ability to work independently whilst collaborating effectively with cross-functional teams

  8. Professional demeanour and discretion when handling confidential information

  9. Strong time management skills and ability to prioritise tasks efficiently

  10. Preferred experience in construction, engineering or infrastructure projects would be advantageous
