About the role

We are a PMA cosmetics import and distribution company building our regulatory and QA function from the ground up. We are looking for a technically strong, reliable apoteker to serve as our Technical Responsible Person (Penanggung Jawab Teknis / PJT) — leading BPOM compliance, product notification, documentation, label review, import-readiness, and quality assurance.

This is a critical early role and a build-and-own one, not a maintenance position. You will be the first dedicated compliance hire and will establish the regulatory and QA foundation of the business from day one. It suits someone who works independently, takes full accountability, and can stand up systems without an existing department around them.

Key Responsibilities

BPOM & Regulatory Compliance

• Act as the company’s registered PJT for cosmetics import and distribution, with full regulatory accountability to BPOM

• Lead the process for obtaining and maintaining the company’s status as Pemohon Notifikasi (Pendaftar), including the Rekomendasi sebagai Pemohon Notifikasi Kosmetika

• Prepare, review, submit, and monitor per-SKU BPOM cosmetic notifications through to NA number issuance, and resolve queries or rejections with BPOM

• Coordinate with BPOM, OSS, filing consultants, laboratories, brand principals, and management as required

• Ensure all imported cosmetics comply with Indonesian BPOM regulations — notification, labelling, claims, ingredient requirements, and documentation standards

• Maintain a regulatory calendar for notification renewals, document expiries, formula updates, artwork updates, and compliance deadlines

Product Information File / DIP

• Build, review, and maintain the Dokumen Informasi Produk (DIP) for each SKU

• Collect and verify documents from foreign brand principals — formula, CoA, GMP/quality certificates, stability and safety data, specifications, labels, claims support, manufacturer information, and Letters of Authorization

• Ensure consistency between formula, label, claims, notification data, and import/shipment documentation

• Create and maintain an organized digital regulatory document system

Label, Claims & Artwork Review

• Review Indonesian labels, packaging, claims, and promotional materials before submission and market release

• Ensure claims remain cosmetic in nature and do not cross into medical/therapeutic territory

• Work with commercial teams so product communication is attractive but compliant

• Approve final artwork before printing, relabelling, import, or sale

Import & Warehouse QA (CDKB)

• Support import-readiness by coordinating the regulatory documents required for customs and BPOM import processes (including per-shipment SKI)

• Establish and supervise CDKB-compliant SOPs for incoming inspection, quarantine, product release, batch tracking, expiry control, FEFO, complaints, returns, damaged goods, and recalls

• Ensure warehouse conditions suit cosmetics storage — cleanliness, product segregation, temperature/humidity monitoring where required, and documentation

• Lead BPOM facility inspection preparation and CAPA follow-up

Halal Compliance

• Manage the company’s halal obligations and certification pathway across the catalogue, including BPJPH/SIHALAL processes and recognition of foreign halal certification

• Ensure correct halal status tracking, labelling, and stock segregation

Internal SOPs & Training

• Draft and maintain SOPs across regulatory affairs, QA, product release, document control, labelling, complaints, recall, and warehouse compliance

• Train internal teams on BPOM compliance, cosmetic claims, product handling, and documentation discipline

• Create checklists and approval workflows so the business can scale without compliance gaps

Required Qualifications

• Apoteker with an active STRA, and willing to register a SIPA at the company’s address for a cosmetics importer/distributor PJT role (not a retail apotek role)

• Substantial hands-on experience notifying imported cosmetics through Notifkos with BPOM — you have personally prepared and submitted a high volume of import cosmetics notifications and seen them through to approval

• Direct experience coordinating with BPOM on import cosmetics notification matters

• Working knowledge of CDKB distribution practice and BPOM facility inspection requirements

• Strong understanding of notification, labelling, claims, ingredient requirements, and DIP documentation

• Excellent document control and attention to detail

• Able to communicate professionally with government bodies, consultants, brand principals, warehouse teams, and management

• Good written and spoken Bahasa Indonesia; English ability is important, as suppliers and product documents are international

Strong Advantages

• Hands-on halal certification experience — BPJPH/SIHALAL processes, mutual recognition of foreign halal bodies, and preparing brands for certification

• Experience as a named PJT for cosmetics (vs. supporting one)

• Prior work with imported Korean cosmetics specifically

• Experience setting up a compliance/QA function or cosmetics warehouse SOPs from scratch

• Familiarity with skincare ingredients, INCI names, preservatives, UV filters, and actives

• Experience handling BPOM inspections, CAPA responses, or audit preparation

Candidate Profile

Someone who is detail-oriented and disciplined with documents; practical, not bureaucratic — able to help the company move fast while staying compliant; honest and clear when there is regulatory risk; comfortable building systems from scratch; able to work independently and take ownership; commercially aware but never careless with compliance; and strong enough to say “no” when a product, claim, label, or document is not acceptable.
