Qualifications:

1. Diploma in Business Administration, Management, Accounting, or a related field.

2. At least 1 year of experience in an administrative or related role

(fresh graduates are welcome to apply).

3. Proficient in Microsoft Office applications (Word, Excel, PowerPoint, Outlook).

4. Experience using ERP systems (e.g., NetSuite) is an advantage.

5. Good document management and coordination skills.

6. Detail-oriented, responsible, and able to work under pressure.

7. Basic to intermediate English communication skills


Job Description:

1. Prepare quotations using the company’s Smart Lab Systems, submit to the responsible Sales staff, and send quotations to customers in accordance with company procedures.

2. Prepare service agreements or contracts after customer confirmation using the Smart Lab Systems.

3. Create Sales Orders in the NetSuite system.

4. Maintain and organize all SGT department documents accurately and systematically.

5. Prepare, record, and update data in relevant systems, including work reports, job orders, invoices, and project documents.

6. Coordinate and follow up on product deliveries to customers and related departments.

7. Prepare Purchase Requisitions (PR) and Purchase Orders (PO) in the NetSuite system.

8. Prepare invoices in the NetSuite system and arrange billing submission to customers.

9. Prepare daily, weekly, and monthly summary reports.

10. Maintain proper filing systems for both hard copy and electronic documents.

11. Support general administrative tasks, including office supplies coordination, scheduling, and internal communications.

Perform other duties as assigned by the supervisor.
