Job Summary
The Admin & Finance Executive is responsible for overseeing the day-to-day administrative and financial operations of the company. This role ensures accurate financial records, smooth office administration, timely reporting, and compliance with local statutory and internal requirements. The position works closely with management, external accountants, auditors, banks, and relevant government authorities.
Key Responsibilities
1. Finance & Accounting
Handle full set or partial set of accounts including Accounts Payable (AP), Accounts Receivable (AR), and General Ledger.
Prepare invoices, payment vouchers, and monitor customer collections.
Process supplier payments and manage petty cash.
Perform bank reconciliations and monthly closing.
Prepare basic financial reports (P&L, cash flow, expense tracking).
Support budgeting, cost control, and financial analysis.
Liaise with external accountants, auditors, tax agents, and banks.
2. Compliance & Statutory Matters
Prepare and submit tax filings (PPN/VAT, withholding tax, etc.) in accordance with Indonesian regulations.
Maintain proper documentation for audits and regulatory inspections.
Ensure compliance with company policies and local labour & tax laws.
3. Administrative & Office Management
Manage office administration, documentation, and filing systems.
Handle HR administration including staff records, leave tracking, payroll coordination, and claims.
Manage procurement of office supplies and vendors.
Coordinate company insurance, licenses, permits, and renewals.
Support onboarding and offboarding processes.
4. Operations & Business Support
Assist management with ad-hoc reporting and analysis.
Support operations or sales teams with documentation (POs, DOs, contracts).
Maintain records for inventory, assets, and expenses.
Coordinate meetings, travel arrangements, and internal communications when required.
Requirements & Qualifications
Experience
2–5 years of relevant experience in finance and administration.
Experience in SME, startup, manufacturing, or food industry is an advantage.
Hands-on experience with accounting software (e.g., SQL, Xero, AutoCount, QuickBooks).
Skills & Competencies
Strong attention to detail and organizational skills.
Good understanding of accounting principles and financial reporting.
Ability to work independently and manage multiple priorities.
Strong communication and coordination skills.
Proficient in Microsoft Excel / Google Sheets and office software.
Experience handling payroll and HR administration.
Education
Diploma or Bachelor’s degree in Accounting, Finance, Business Administration, or related field.
Preferred (Nice to Have)
Experience in inventory costing or manufacturing cost tracking.
Familiarity with Indonesian tax regulations and compliance processes.
