As Travel Consultant/Agent, you will manage and coordinate both personal and official travel for the company's employees. You will ensure the trip is smooth, cost effective, and aligned with our travel policies. You will work closely with internal teams and external partners to deliver exceptional travel support across global destinations.

Job Responsibilities:

Duty Travel: 

  • Plan and book international and domestic travel for employees on official business, including flights, hotels, ground transport, and visas.

  • Ensure all duty travel complies with company policies and budget guidelines.

  • Provide real-time support to travellers pre trip and during duty trips, handling changes, disruptions, and emergencies.

  • Maintain accurate records of duty travel bookings, documentation, and expense reports.

  • Monitor global travel advisories and communicate relevant safety updates.

Staff Travel (Personal Travel at Employee’s Expense):

  • Assist employees in booking personal travel using corporate-negotiated rates and preferred vendors.

  • Ensure staff travel bookings follow internal guidelines for access to negotiated benefits.

  • Liaise with travel vendors to secure competitive rates and support for personal travel arrangements.

  • Provide guidance with travel options, visa requirements, documentation of personal trips.

General:

  • Negotiate with travel vendors to maintain and improve corporate travel agreements.

  • Support group travel planning and executive-level itineraries as needed.

  • Maintain strong relationships with travel partners and internal stakeholders.

  • Carefully prepare documentation including proposals, confirmations, vouchers, invoices, etc., necessary for the sale and operation of trips as booked.

  • Ensure all details of itineraries have been entered into the systems correctly and reconfirming every aspect of the booking before passing on documents to partners and information to fulfilment team.

  • Coordinate internally to ensure that all services are booked as needed.

  • Ensure all follow up is input correctly into the company’s system message queue.

  • Generate invoices, request payment, and follow up with Finance to ensure invoices are paid as per timeline.

  • Follow all reporting guidelines.

Ongoing development: 

  • Participate in ongoing training to learn about product updates, destination news, supplier news, and other Sales Support sessions

  • Stay informed of industry trends, customer habits and interests, destination and supplier news, and other topics that will help confirm sales.


Job Qualifications: 

  • Diploma/bachelor’s degree in hospitality, Tourism, Business Administration, or related field preferred.

  • Experience in corporate travel coordination or travel agency operations.

  • Strong organizational and multitasking skills with attention to detail.

  • Excellent communication and customer service abilities.

  • Proficiency in travel booking systems and GDS platforms (e.g. Amadeus, Sabre).

  • Familiarity with international travel regulations and visa processes.

  • Flexibility to support travellers across time zones and respond to urgent needs.

  • Multilingual skills (English required; other languages a plus).

  • Flexible rotating roster that may include late nights, weekends, and early mornings and flexible with uncertainties/changing priorities and under pressure.

  • Willing to travel on business when required.

  • Personally, it is aligned with the company’s purpose and values.

  • Proficiency with Microsoft Office applications and the company’s systems would be an advantage.
