The Fulfillment Coordinator ensures secure, accurate, and timely fulfilment of gold orders from vault to customer. This role owns inventory reconciliation, vault synchronization, logistics coordination, and SKU-level analysis, safeguarding inventory integrity and customer trust in a high-value, regulated gold retail environment.
Key Responsibilities
1. Fulfilment & Logistics Coordination
Coordinate end-to-end order fulfilment from vault/warehouse to delivery
Liaise daily with Vault, Warehouse, Secure Logistics (e.g., Brinks), Sales & Customer Ops
Monitor shipments, deliveries, and exceptions (delays, mismatches, failed deliveries)
Ensure strict adherence to security and chain-of-custody SOPs
2. Inventory Control & Reconciliation
Perform daily reconciliation between:
Physical vault stock
E-commerce platform
ERP / inventory system
Maintain real-time stock synchronization to prevent overselling
Track inventory at SKU / weight / denomination / batch level
Investigate and resolve discrepancies promptly
3. SKU Tracking & Demand Forecasting
Monitor SKU sales velocity and stock movement
Analyze demand patterns for replenishment and campaign readiness
Prepare short- and mid-term inventory forecasts
Provide data inputs to Platform Manager for inventory and working-capital optimization
4. Reporting & Data Support
Maintain daily dashboards: orders, inventory balance, fulfilment status
Prepare reports on:
Inventory accuracy
Fulfilment SLA performance
SKU turnover and demand insights
Support audits and ad-hoc operational analysis
5. Governance, Risk & Compliance
Ensure compliance with:
Internal SOPs and controls
Precious metals retail regulations
Audit and risk standards
Flag operational, inventory, or fraud risks early
What skills and experience do you need?
Bachelor’s degree in Supply Chain, Logistics, Business, Engineering, or related field
Have min. 5 years in fulfilment, inventory, logistics, or e-commerce operations
Experience with high-value or regulated goods (gold, bullion, luxury, financial products) preferred with exposure to vaults, warehouses, or secure logistics environments is a strong advantage
Strong inventory reconciliation and control discipline and understanding of fulfilment and last-mile logistics
Advanced Excel / Sheets skills; ERP experience preferred with analytical, detail-oriented, and process-driven
High integrity and confidentiality awareness
Excellent communication skills in English both verbal and written
