Administrative Assistant Job Description/行政助理职位描述

Job Responsibilities/工作职责

  • Administrative and Secretarial Support/行政与秘书支持

    • Manage incoming/outgoing calls, visitors, emails, and courier; maintain the office environment and facilities; plan and control office supplies procurement and inventory./管理呼入 / 呼出电话、访客、电子邮件和快递;维护办公环境和设施;规划并控制办公用品的采购及库存。

    • Organize meetings and business travel​ (reserve venues, prepare agendas and materials, book flights/hotels, provide visa and reimbursement​ support); produce meeting minutes​ and track action items./组织会议和商务旅行(预订场地、准备议程和材料、预订航班 / 酒店、提供签证和报销支持);撰写会议纪要并跟踪行动事项。

    • Draft and review official documents, reports, notices, and speeches; maintain filing systems and records​ with proper version control and confidentiality./起草和审核官方文件、报告、通知及演讲稿;维护档案系统和记录,并做好适当的版本控制和保密工作。

    • Manage fixed assets​ (registration, allocation, inventory, and disposal); maintain office equipment​ (e.g., printers, copiers, projectors) and IT accounts/access cards/desks./管理固定资产(登记、分配、盘点和处置);维护办公设备(如打印机、复印机、投影仪)以及 IT 账户 / 门禁卡 / 办公桌。

    • Conduct vendor sourcing, price comparison, and contract execution; perform goods receipt and acceptance; uphold service standards and SLAs; execute the administrative budget​ and expense reimbursement​ processes to ensure compliance and accuracy./进行供应商寻源、价格比对和合同执行;执行货物接收与验收;维护服务标准和服务级别协议;执行行政预算和费用报销流程,以确保合规性和准确性。

  • HR and Recruitment Support​ (as applicable)/人力资源与招聘支持(如适用)

    • Assist with resume screening​ and interview scheduling; handle onboarding/offboarding​ procedures; maintain personnel files​ and attendance records; support employee relations​ and activities./为绩效和薪资数据的准备及核实(如适用)提供支持。

    • Provide support for performance and payroll​ data preparation and verification (if applicable)./为绩效和薪资数据的准备及核实提供支持(如适用)。

  • Compliance, Safety, and Logistics​ (for industrial park/project settings)/合规、安全与物流(适用于工业园区 / 项目场景)

    • Liaise with property/industrial park management​ to implement fire safety, security, and emergency​ routines; manage dormitories, canteens, vehicles, and drivers/fleet​ (if applicable)./合规、安全与物流(适用于工业园区 / 项目场景)

    • Assist with visa and immigration​ document preparation; coordinate on‑site procurement and requisition; perform data entry​ and reporting./协助签证和移民文件的准备工作;协调现场采购和申领事宜;进行数据录入和报告工作。

  • Cross‑cultural Communication and HQ Coordination/跨文化沟通与总部协调

    • Act as a bridge across functions and regions​ to ensure consistency​ in administrative standards and processes between HQ, regional offices, and projects; enhance employee experience​ and the quality of external visitor reception./在各职能部门和区域之间充当桥梁,确保总部、区域办事处和项目之间行政标准与流程的一致性;提升员工体验以及外部访客接待质量

Qualifications and Competencies/资格与能力

  • Education and Experience: Associate degree or above​ (preferably in Administration, Business Administration, or Secretarial Studies); 2–3 years​ of relevant administrative/secretarial experience preferred./资格与能力

  • Language Skills: Proficient Indonesian​ and ChineseMandarin communication and writing skills./语言技能:精通印度尼西亚语和中文普通话的沟通及写作能力。

  • Office and Systems: Skilled in MS Office (Word, Excel, PowerPoint)​ and OA/collaboration tools; capable of data entry, reporting, and presentation​ production./办公与系统:熟练掌握微软办公软件(Word、Excel、PowerPoint)以及办公自动化 / 协作工具;能够进行数据录入、报告撰写和演示文稿制作。

  • Soft Skills: Detail‑oriented, strong sense of confidentiality, communication and coordination, multi‑tasking and prioritization, problem analysis and resolution, customer‑oriented./软技能:注重细节、强烈的保密意识、沟通协调能力、多任务处理与优先级排序能力、问题分析与解决能力、以客户为导向。

  • Others​ (as applicable): Valid driver’s license, willingness to travel or be stationed onsite, and event planning and execution​ experience are advantageous./其他(如适用):有效的驾驶执照、愿意出差或驻场,以及活动策划和执行经验者优先。
