Job Summary
The Architecture Administrator is responsible for providing administrative, operational, and coordination support to the architecture team. This role ensures smooth daily operations, proper documentation, and effective communication between internal teams, clients, and external parties.

Key Responsibilities
Administrative Support
Manage daily administrative tasks for the architecture department
Handle correspondence, emails, phone calls, and document filing
Prepare letters, agreements, proposals, and internal reports
Maintain organized digital and physical project records
Project & Document Coordination
Assist in preparing project documentation (contracts, permits, invoices, submissions)
Track project timelines, deliverables, and approvals
Coordinate meetings, site visits, and client appointments
Support document control for drawings, revisions, and approvals
Financial & Office Coordination
Assist with invoicing, payment tracking, and expense documentation
Coordinate with finance and procurement teams when required
Manage office supplies and administrative needs for the architecture team
Communication & Client Support
Act as a liaison between architects, clients, consultants, and contractors
Follow up on client requests, approvals, and outstanding documents
Ensure professional and timely communication at all times
General Support
Support HR or management tasks related to the architecture team if required
Assist in improving administrative processes and workflow efficiency
Requirements & Qualifications
Minimum Diploma/Bachelor’s degree in Administration, Management, or related field
Fresh graduates are welcome to apply
Good English proficiency (written and verbal)
Strong organizational and time-management skills
Proficient in Microsoft Office / Google Workspace
Detail-oriented, proactive, and able to multitask
Preferred Skills
1-3 years background in architecture, design, or construction firms is a plus
Basic understanding of architectural projects and documentation
Familiarity with project management tools is an advantage
