About the role
We are seeking a dedicated Admin/Accounts professional to join our team at the Solomon Islands Embassy on a full-time basis. This role combines administrative and accounts management responsibilities, making it essential to the smooth operation of our office. You will be responsible for managing key administrative functions whilst supporting our financial operations, ensuring that our business runs efficiently and all documentation is maintained to the highest standards. This position plays a vital part in supporting our wider business objectives by maintaining organisational systems and providing reliable administrative and financial support to the team. The role entails managing the day to day schedule of the Head of Mission as well. Establishing and building rapport of key with the role, especially focal and key Ministeries/Kementerian and agencies.
Key responsibilities
Managing general administrative tasks including scheduling, correspondence, filing and record-keeping to ensure smooth office operations
Processing and reconciling accounts, invoices and expense reports with accuracy and attention to detail
Maintaining financial records and documentation in accordance with company policies and relevant regulations
Supporting the preparation of financial reports and statements as required
Coordinating with internal departments and external stakeholders regarding administrative and financial matters
Managing office supplies, equipment and facilities to support day-to-day operations
Assisting with data entry, database management and information organisation
Performing month-end and year-end closing procedures as directed
Supporting the accounts team with ad hoc financial administrative duties as needed
What we're looking for
Proven experience in an administrative and/or accounts support role, ideally within a corporate or office-based environment
Strong proficiency with Microsoft Office applications (particularly Excel and Word) and accounting or office management software
Excellent organisational and time management skills with the ability to manage multiple priorities simultaneously
Meticulous attention to detail, particularly when handling financial data and records
Strong communication and interpersonal skills with the ability to work effectively with colleagues at all levels
Proficiency in English, both written and verbal, with fluency in Bahasa Indonesia advantageous
Knowledge of basic accounting principles and familiarity with accounts payable and receivable processes
Demonstrated reliability, discretion and a professional approach to handling sensitive financial information
Experience with basic bookkeeping or accounts administration is highly desirable
Must be knowledgeable in or have a general and basic understanding of how diplomatic entities function and operate and especially its key mandates.
