We are looking for a proactive and detail-oriented Supply Chain Staff (Administrative) to join our team in Semarang, Central Java. This role is ideal for individuals who thrive in a fast-paced environment where every day brings new challenges and opportunities to learn.

 

About the Role

The Supply Chain Staff (Administrative) will be responsible for coordinating and optimizing order and shipment information across the supply chain. The role ensures efficient inventory management, timely product delivery, and accurate documentation while supporting day-to-day administrative tasks. The ideal candidate is organized, analytical, and an effective communicator who can work seamlessly with vendors (factories), logistics partners, and internal teams.

 

Key Responsibilities

  • Monitor and verify factory bookings through the Supply Chain platform; coordinate closely with the team to ensure on-time shipments.

  • Manage ad-hoc orders such as swatches and parts requests.

  • Coordinate, track, and manage sample requests and shipments in collaboration with the Supply Chain (SC) and Product Development (PD) teams.

  • Handle administrative tasks, including payment/invoicing, document preparation, and completing the data in the system.

  • Review and process purchase orders to vendors via the Supply Chain platform, based on sales requests and demand/forecast.

  • Communicate proactively with the Supply Chain platform team regarding vendor bookings and shipment allocations.

  • Provide operational and clerical support to ensure smooth department workflows.

  • Prepare weekly reports and other reports accurately, for review with the SC Manager and team.

  • Report directly to the SC Manager and actively participate in departmental and cross-functional meetings.


Requirements

  • Bachelor’s Degree.

  • Minimum 1 year of experience as an export staff, in supply chain or administrative roles (experience in the furniture industry is a plus).

  • Intermediate English proficiency, including written communication and email correspondence.

  • Proficient in Microsoft Office (Excel, Word, PowerPoint) and familiar with ERP systems (e.g., Microsoft Dynamics 365).

  • Familiarity with business processes, with the ability to analyze data and generate reports using Power BI.

  • Experience with supply chain platforms (e.g., GT Nexus, Century) and booking tools (e.g., Damco portal) is an advantage.

  • Good understanding of export/trade regulations is preferred.

  • Strong analytical, communication, and negotiation skills with a proactive mindset.

  • Highly detail-oriented, organized, and able to prioritize tasks effectively.

  • Able to work both independently and collaboratively within a team.

  • Willingness to work during weekends and holidays when required.

  • Based in or willing to relocate to Semarang, Central Java.
