We Are Looking For
We are looking for a meticulous Project Administrator to support the Indonesia Project Team. The Project Administrator provides administrative and coordination support to ensure the smooth execution of data center development and infrastructure projects. This role supports project managers in tracking documentation, managing project schedules, coordinating meetings, and ensuring compliance with corporate and project governance standards.
Job Responsibilities:
a) Project Coordination & Documentation
Assist in preparing, organizing, and maintaining project documentation including drawings, technical specifications, purchase orders, and contracts
Maintain accurate records of correspondence, reports, and approvals for audits and project closeouts
Support the preparation of project status reports, minutes of meetings, and presentations for internal and external stakeholders
b) Schedule & Progress Tracking
Assist in monitoring project timelines, milestones, and deliverables
Coordinate with internal teams and vendors to ensure timely submission of deliverables and reports
Update project trackers and dashboards to support management reviews
c) Procurement & Financial Administration
Support procurement activities by assisting in PR/PO creation, tracking approvals, and ensuring vendor documentation completeness
Monitor invoice submission and payment progress in coordination with Finance and Procurement teams
Maintain a database of suppliers, contracts, and procurement logs
d) Stakeholder Communication
Schedule and coordinate project meetings, site visits, and workshops with consultants, contractors, and internal teams
Circulate meeting agendas, record minutes, and follow up on action items.
Serve as a point of contact for administrative queries related to the project
e) Compliance & Quality Support
Ensure that documentation meets internal quality standards and audit requirements
Assist in maintaining compliance with company safety, environmental, and governance policies
Support handover documentation for commissioning and operations teams
Qualities You Should Have
Diploma or bachelor’s degree in engineering, Project Management, or related discipline
Minimum 3 years of project coordination experience, preferably in data center, construction, MEP, or infrastructure sectors
Familiar with project management documentation processes and tools (e.g., Procore (preferably), MS Project, Smartsheet, or equivalent)
Proficient in Microsoft Office Suite (Excel, PowerPoint, Word)
Strong organizational and multitasking skills with attention to detail
Excellent communication and coordination abilities across diverse stakeholders
Experience supporting engineering or construction projects (data center, industrial, or critical infrastructure preferred)
A proactive, collaborative, and solution-oriented mindset
Able to work in a fast-paced, deadline-driven environment
