Job Responsibilities:
Facilities and Asset Management: Oversee the repair and maintenance of office and factory facilities, manage the utilization of office and residential areas, and execute the recording, inventory, and transfer of fixed assets.
Reception and Meeting Management: Organize and manage internal and external meetings (including minute-taking), and handle all logistics for company guests, such as accommodation, transportation, and meal arrangements.
Document and Archiving Control: Manage the entire lifecycle of company records and archives: receiving, classification, filing, safekeeping, and loaning of all critical documents.
System and Process Implementation: Assist in establishing and improving internal systems and procedures. Monitor, supervise, and provide feedback on the execution of these policies across departments.
Canteen/Cafeteria Administration: Supervise the management of the company canteen, including organizing routine inspections for hygiene and food safety, and conducting regular satisfaction surveys.
Procurement and Supplies: Handle the collection of requirements, ordering, and purchasing of routine items, including monthly office supplies, low-value consumables, and staff welfare gifts.
Legal and Seal Management: Manage the safekeeping and ledger recording for the use of company seals (official, contract, etc.) and handle the application or renewal of necessary legal documents and business licenses.
Import/Export and Customs: Manage the administration of import/export reporting systems, and oversee the customs declaration, inspection, and insurance for imported materials and equipment.
Workplace Environment and 6S: Ensure workplace health and hygiene (including epidemic prevention) and regularly carry out 6S inspections (Sort, Set in Order, Shine, Standardize, Sustain, Safety) to maintain standards.
Job Qualification:
Education: Diploma (D3) in Economics/Management or related;
Experience: At least 2 years in General Administration (GA) or Administrative Management;
Skills: Proficient in official document writing, basic computer operations, and Fluent in written and spoken English;
Competencies: Strong skills in planning, organization, coordination, and problem-solving;
