We are seeking a proactive and detail-oriented Export Assistant to join our growing export company in Jakarta. This role is ideal for someone who enjoys building business relationships, coordinating logistics, and supporting international trade operations.
Forge and maintain strong relationships with factories and suppliers across Indonesia
Contact and communicate with international importers and potential clients
Conduct market research to identify new business opportunities
Build and maintain a network of reliable suppliers and manufacturers
Gather competitive pricing information from various suppliers
Compile detailed product specifications and catalogs
Monitor market trends and competitor pricing
Gather and compare freight prices from multiple shipping lines and forwarders
Prepare comprehensive price quotations for customers including shipping costs
Create and maintain comprehensive customer profiles and databases
Track customer preferences, order history, and communication records
Respond to customer inquiries promptly and professionally
Follow up with clients on orders and feedback
Prepare export documentation (commercial invoices, packing lists, certificates of origin)
Coordinate with freight forwarders and shipping agents
Maintain accurate records of orders, shipments, and transactions
Assist with customs clearance documentation
Track shipment schedules and ensure timely delivery
Request and negotiate freight rates with shipping lines and freight forwarders
Compare transportation options (sea freight, air freight, courier) and costs
Coordinate with warehouses for quality control and packaging requirements
Resolve shipping delays or issues with logistics partners
Liaise between suppliers, customers, and shipping companies
Conduct supplier evaluations and assessments
Ensure products meet customer specifications and quality standards
Coordinate product inspections when required
Handle quality complaints and work toward resolutions
Minimum Diploma (D3) or Bachelor's Degree (S1) in Business, International Trade, Export-Import, or related field
1-3 years of experience in export, import, or international trade
Strong proficiency in English and Bahasa (both written and spoken) - this is mandatory
Excellent communication and interpersonal skills
Proficient in Microsoft Office (Excel, Word, PowerPoint)
Understanding of export procedures and documentation
Knowledge of Incoterms and international payment methods
Experience with CRM or database management systems
Mandarin, Japanese, or other foreign language skills are a plus
Familiarity with Indonesian export regulations and customs procedures
Strong negotiation and persuasion abilities
Detail-oriented with excellent organizational skills
Ability to work independently and manage multiple tasks
Problem-solving mindset with a proactive approach
Customer-service oriented attitude
Willing to travel domestically for supplier visits when needed
