Job Purpose:
To provide administrative support for procurement activities, HSSE compliance, and general affairs, ensuring smooth operations, accurate documentation, and adherence to company policies and safety standards.
Key Responsibilities:
Procurement Support
Assist in the preparation and processing of purchase requisitions and orders.
Maintain and update vendor records and procurement documentation.
Coordinate with suppliers for quotations, delivery schedules, and order confirmations.
Track and monitor procurement timelines to ensure timely delivery of goods/services.
Support budget tracking and cost control measures related to procurement.
HSSE Administration
Maintain HSSE records, including incident reports, safety audits, and training logs.
Assist in organizing HSSE training sessions, drills, and awareness programs.
Ensure compliance with company HSSE policies and regulatory requirements.
Support the implementation of safety initiatives and monitor follow-up actions.
Coordinate with internal teams and external vendors for HSSE-related services and supplies.
General Affairs Support
Support in handling office facility management, maintenance, and supplies.
Assist with employee services such as office equipment requests, travel arrangements, and other GA-related needs.
Coordinate with external service providers for office operations (e.g., utilities, maintenance, catering, transportation).
Support company events, employee engagement activities, and other initiatives requiring GA assistance.
Maintain accurate GA records and ensure timely resolution of employee or office-related issues.
General Administrative Duties
Prepare reports, presentations, and documentation as required.
Support internal audits and compliance checks.
Liaise with cross-functional teams to ensure alignment on procurement, HSSE, and GA matters.
Manage filing systems (digital and physical) for procurement, HSSE, and GA documentation.
Requirements:
Education: Diploma or Bachelor's Degree in Business Administration, Supply Chain, or related field.
Experience: Minimum 2 years of relevant experience in procurement, HSSE, general affairs administration.
Skills:
Strong organizational and multitasking abilities.
Proficiency in MS Office and procurement systems (e.g., SAP).
Good communication and interpersonal skills. English-speaking skills is a plus.
Attention to detail and ability to work independently.
